An Electronic Document
Management (EDM) system has five main elements – scanning,
storage, indexing, retrieval, and viewing.
Scanning converts the paper document into electronic format
ready for use by the EDM system on your computer.
The storage system provides long-term and reliable storage for
electronic documents.
The index system creates an organised document filing system and
makes future retrieval simple and efficient.
The retrieval system uses information about the documents,
including index and text, to find images stored in the system.
It uses one of more of the indices to get the document required.
Document viewing is readily available to those who need it, with
the flexibility to control access to system. The access system
will make documents viewable to authorised personnel, whether in
the office, at different locations, or over the Internet.
